We’re looking for an experienced, proactive, and highly organised Board and Executive Support professional to provide exceptional support to our CEO, Board, and Leadership Team. What will you be doing?

As the Board and Executive Support at The Y, you’ll play a vital role in ensuring our executive and governance functions run smoothly and professionally.

Reporting directly to the CEO, you’ll provide high-level executive and administrative support to the CEO, Board of Directors, and Leadership Team - keeping communication clear, processes organised, and meetings running seamlessly.

Your day-to-day work will include:

  • Providing high-level executive and governance support to the CEO, Board, and Leadership Team.
  • Coordinating complex schedules, meetings, and events, including Board and Sub-Committee meetings, AGMs, and leadership team workshops.
  • Preparing agendas, compiling meeting papers, taking accurate minutes, and following up on action items.
  • Supporting smooth governance processes through tools such as BoardPro and Microsoft 365, maintaining accurate documentation and version control.
  • Acting as a trusted liaison across the organisation, ensuring clear and professional communication between the CEO, Board, and wider team.
  • Managing systems, supplies, and administrative processes to ensure an organised, efficient, and welcoming office environment.
  • Preparing reports, correspondence, and presentations with attention to detail and a high standard of quality.
  • Anticipating needs, handling sensitive information with discretion, and helping others stay on top of their priorities in a fast-moving environment.

What experience/skills do you need?

We’re looking for someone who is organised, proactive, and enjoys helping others succeed in a fast-paced environment. You’ll bring professionalism, initiative, and a sense of fun to your work.

You’ll also have:

  • 5+ years’ experience supporting senior executives and/or boards
  • Excellent organisation, time management, and communication skills
  • Proven ability to manage multiple priorities and meet deadlines
  • Strong relationship-building and diplomacy skills
  • High attention to detail and commitment to confidentiality
  • Experience with BoardPro, Microsoft 365, or similar governance systems
  • Familiarity with not-for-profit or community organisations (advantageous)
  • Understanding of privacy compliance and governance processes
