We are looking for a Reservations Manager to join our team based at the YMCA Hostel in Auckland Central. We have a mixed clientele of overseas and NZ visitors and are a small, very connected team that work well together, provide excellent customer service and love to celebrate our successes. This is a hands on role working from front desk location. You will be Responsible for promoting and selling YMCA Accommodation by using professional sales techniques and communication skills to achieve an optimum level of occupancy and average room rate to best yield revenue and to ensure budgeted targets are met.
What will you be doing?
- Maximise room revenues, and create additional revenue, by utilising effective upselling techniques.
- Maximise all booking opportunities and use your skills to source new business and follow up on leads
- Work with the Group Manager, Accommodation to implement sales strategy for the property (e.g. goal setting, setting rates, occupancy, etc.).
- Deal with emails, correspondence checking (VIP’s, regular guest, group allocations), and respond to guest requests on a daily basis.
- Process all reservations and group bookings
- Monitor overflow reservations to ensure data is captured in the system
- Set-up accommodation rate code and external companies and check guest history for accuracy
- Generate Sales Leads for potential new accounts.
- Ensure Hotel and Hostel profiles are maintained, merged and updated on a regular basis to provide accurate Company, Agent and Individual Guest information.
- Maintain Reservation files in an up to date and accurate manner.
- Manage customer queries and complaints relating to the Reservations
- Complete sales reports on a weekly basis, help prepare forecasting, review accounts receivable ledger.
- Be conversant with market segment and rate plans, special rates and packages.
- Attend and participate in the monthly Sales Strategy and Brainstorming meeting, Reservations Feedback meetings and other departmental activities as required.
- Ensure financial policies, procedures, deadlines, audit and business requirements are strictly adhered to.
- Help cover front desk over peak periods and absences.
What experience/skills do you need?
- Hospitality/Hotel/Hostel/Tourism front line customer service experience, preferably in sales or entry level management operations or related profession.
- Administration skills & computer literacy- experience with Guest booking systems
- Excellent eye for detail, efficient and accurate cash handling and initiates self checking procedures.
- High degree of computer literacy, including intermediate to advanced working knowledge of Microsoft based programmes
- High work standards, ensures consistent high quality
