YMCA Outdoors provides high quality educational and fun outdoor programs for schools and community groups, providing a wide range of activities such as archery, climbing, kayaking, bush cooking, mountain biking, coasteering, orienteering and others.

We are looking for a Bookings and Administration Assistant to join our team on a fixed term basis until May, based at Camp Adair in Hunua, Auckland. This is a part time role - 24 hours per week, working Monday, Tuesday & Thursday, 8:30am - 5:00pm.

The Bookings and Admin Assistant role is to maximise opportunities for customers booking in for camps through excellent customer service and simple effective processes, and to assist in the day to day administration operation of the camps.

What will you be doing?

  • Assist in managing customer visits to YMCA Outdoors facilities
  • Assist in administering and managing all YMCA Outdoors and holiday programme bookings
  • Assist the Outdoors Administration Manager with data entry, pety cash, Accounts Receivable, Accounts Payable and other financial administration
  • Assist the Outdoors Administration Manager with all internal and external reporting requirements
  • Assist with ensuring service information and promotional material for all YMCA Outdoors activities and services are accurate, meet YMCA Brand Guidelines and maximise buying opportunities by customers.
  • Actively promote and market all programmes and services offered by YMCA North to maximise buyer opportunity
  • Assist in delivering excellence in customer service at all and respond to all queries within eight working hours
  • Ensure complaints are minimised and handled politely and professionally
  • Assist in liaising with customers regarding activity programme design working with the relevant programme team for bespoke options
  • Assist in actively obtaining customer feedback

What experience/skills do you need?

  • Competent level of computer literacy, including intermediate to advanced working knowledge of Microsoft based programmes
  • Knowledge of outdoor activity programming outcomes helpful
  • Having sales capability to convert enquiries into bookings
  • Cash handling and reconciliation experience
  • General accounts/office skills and experience
  • Customer Service experience – min 6 months
