We are looking for a vibrant Administrator to join our team at our Y Out of School Care - Fun. Done. Right - where kids learn, play and grow within a safe environment. This is a permanent part-time position, 25 hours per week worked over Monday-Friday and has the option to be based in either Auckland or Waikato.

This role will provide general and financial administrative support for the day-to-day operations of the OSCAR (Out of School Care) programmes across Auckland and Waikato. You will be ensuring that accurate procedures are followed, and financial records are kept, including daily purchasing, accounts payable, receivable, and reconciliations.

We are looking for someone who has administration experience, including booking/accounting systems (ideally Xero or similar), a great attitude and excellent customer service and communication skills.

What will you be doing?

  • Customer Service – Attend to customer queries, always delivering excellence in customer service to maximise customer satisfaction and retention.
  • Service Delivery – Administration tasks and data entry including daily confirmation of bookings, processing of all programme requirements including OSCAR enrolments, daily processes, subsidies and payments where applicable. Building effective relationships with suppliers/service providers.
  • Financial – provide financial administrative support including invoicing and reconciliation and management of debtors and creditors.

What experience/skills do you need?

  • Minimum two years’ experience working in an administrator role.
  • Experience with booking and accounting systems, ideally Xero or similar.
  • Experience in WINZ forms and reconciliation.
  • Data entry efficiency.
  • Excellent customer service and communication skills, including ability to actively listen and express information effectively.
  • High work standards with excellent attention to detail.
  • Problem solving abilities.
  • Very good time management and organisational skills, with the ability to multi-task and work to deadlines.
  • Ability to act in a manner that conveys high personal and professional standards, whilst engaging with a personable and approachable nature.
  • Interpersonal skills and the ability to deal with customers from a diverse range of ages and cultures.
